We collect club administrator contact details, member names and emails for fee tracking, and technical logs for security. We do not store financial payment card data; this is handled entirely by Square.
2. AI Data Usage
Our platform utilises AI agents (such as Rusty, Gaz, and Shazza) to process match statistics and club inputs to generate match reports and social content. Future updates may include AI processing for financial insights. This data is logically isolated to your specific tenant. We strictly do not use your private club data to train general-purpose global AI models.
3. Data Security & Multi-Tenancy
We utilise a strict multi-tenant architecture and industry-standard encryption (AES-256) to ensure your data is isolated and secure. Your data is stored on secure cloud infrastructure located in Australian data centres where possible.
4. Compliance & Your Rights (APP & GDPR)
Fees Please, a trading name of Ashley Graeme Pitt (ABN 62 997 103 770), complies with the Australian Privacy Principles (APP) and the data safety requirements for the Apple App Store and Google Play Store.
EU & GDPR Compliance: If you reside in the European Union (EU) or European Economic Area (EEA), you have specific data protection rights under the General Data Protection Regulation (GDPR). These rights include:
- Right of Access & Portability: You can request a digital copy of all personal data we hold about you.
- Right to Rectification: You can request corrections to inaccurate personal details.
- Right to Erasure ("Right to be Forgotten"): You can request that we permanently delete your account, team ledger records, and player rosters.
- Right to Object/Restrict Processing: You can request that we limit how we process your data.
- Right to Withdraw Consent: You can opt-out of cookies or analytics tracking at any time using our cookie consent settings.
Data Protection Subprocessors: We utilise secure, industry-standard subprocessors to deliver our services, including Stripe (billing), Square (card checkouts), Resend (emails), and our ticketing support platform. Data transfers to these systems are secured under standard contractual clauses.
5. Data Retention Policy
We store personal data and team records only for as long as is necessary to provide our services and satisfy legal obligations:
- Active Team Data: All team rosters, availability history, and seasonal ledgers are stored active for the duration of your team subscription or free account use.
- Account Inactivity: Accounts that have been completely inactive for more than 24 consecutive months are flagged and automatically deleted or anonymised.
- Roster & Player Deletion: When an organiser removes a player record from their roster, that player's personal details are instantly deleted or anonymised from our active database.
- Financial & Compliance Records: To comply with standard tax laws and auditing regulations, transaction histories processed through Stripe and Square are retained for a minimum of 7 years as required by Australian regulatory bodies.
- Backup Lifecycles: Encrypted backups containing deleted data are retained in secure storage for up to 30 days before being completely overwritten.
